Use this interactive demo to learn how to create subtasks in Microsoft To Do.

‍

‍

Subtasks, known as Steps in Microsoft To Do, allow you to break down complex B2B SaaS projects into smaller, manageable actions. Here is the simple guide:

‍

  1. On your Microsoft 365 main dashboard, click the App launcher in the upper-left corner.
  2. From the app list, select To Do to open Microsoft To Do.
  3. Click on an existing task to open the detail pane on the right side of the screen.
  4. In the Detail Pane that opens on the right, click on + Add step.
  5. Type each subtask and press Enter to add as many individual steps as necessary to complete your larger goal.
  6. Review your main list to see how many steps are completed (e.g., "2 of 5"), and you’re all set.

📌 Why this matters

Breaking large tasks into subtasks transforms overwhelming projects into clear action sequences you can actually execute. When you see "2 of 5" progress indicators, your brain gets regular dopamine hits that maintain momentum through lengthy work.

The real power emerges when you share these detailed task breakdowns with team members—suddenly everyone understands not just what needs doing, but exactly how to do it. This granular visibility prevents tasks from stalling because someone didn't know the next concrete step to take.
