Use this interactive demo to learn how to create smart lists in Microsoft To Do.

‍

‍

Smart lists are automated categories that filter and display tasks based on specific attributes like due dates or importance, though they cannot be created from scratch like regular lists.

‍

  1. On your Microsoft 365 main dashboard, click the App launcher in the upper-left corner.
  2. From the app list, select To Do to open Microsoft To Do.
  3. Click on your profile name or the Settings icon (gear) in the top right corner of the application.
  4. Scroll down to the Smart Lists section to see all available automated views.
  5. Toggle the switch to "On" for the lists you want to appear in your sidebar, such as Important, Planned, All, Completed, or Assigned to me.
  6. Enable the Auto-hide empty smart lists option if you want these lists to disappear from your sidebar when they don't contain any active tasks.
  7. Add a due date or star to any task in a regular list, and it will automatically populate into the corresponding smart list.
  8. Your newly created smart lists will now automatically organize your tasks so you can focus on what matters most.

📌 Why this matters

Smart lists transform scattered tasks into focused workflows by automatically surfacing what needs attention without manual sorting. You can instantly see overdue items, starred priorities, or completed work without hunting through multiple project lists.

The real power lies in reducing decision fatigue - instead of constantly evaluating which tasks matter most, the system does the cognitive work for you. This automated categorization means you spend less mental energy on organization and more on actual productivity, especially when juggling multiple projects with varying deadlines and importance levels.
