Use this interactive demo to learn how to invite and set up an accountant as a user in Xero.

Quick summary

Adding an accountant in Xero takes just a few steps: navigate to Settings, use the Invite a User flow, assign Advisor permissions, and send the invite — giving your accountant instant access once accepted.

Steps

  1. On Xero's main dashboard, head to the top-left corner and click the Company tab.
  2. Choose Settings from the list of options.
  3. Click Users to proceed to the user management screen.
  4. Tap Invite a User at the top-right corner.
  5. Enter the required user information — the accountant's name and email address — into their respective input fields.
  6. Scroll down to the Permissions section and tick the checkbox beside Business and Accounting.
  7. Select the Advisor tab to assign the appropriate accountant role.
  8. Tick the checkbox beside any additional access you want to grant your accountant, such as bank account admin.
  9. Optionally, select Add a Message under the Personalize the Invite section to include a custom note.
  10. Review your input and click Send Invite to dispatch the invitation.
  11. Once the invite is accepted, your accountant will be added as a user to your Xero organization.

📌 Why this matters

Granting an accountant access to your Xero organization is a critical step in enabling seamless collaboration between business owners and their financial advisors. Xero's built-in user invitation system lets you assign Advisor-level permissions with granular access controls — such as bank account admin rights — ensuring your accountant has exactly the access they need without compromising security. This streamlined workflow eliminates manual credential sharing and keeps your financial data organized under verified, role-based user accounts. For any small business using Xero for accounting, correctly setting up accountant access is foundational to efficient bookkeeping and financial oversight.
