Pipedrive's Automations feature lets you auto-create an activity whenever a new deal is added, eliminating manual follow-up tasks. By setting a trigger, condition, and action in the automation flow, your team ensures no deal goes without an immediate next step.
Steps
- Go to the three dotted icon for More on the left sidebar menu.
- Select Automations from the top menu.
- Click the + Automation button to create a new automation.
- On the automation flow page, set the trigger by field to all users.
- Click the Trigger button and select any user from the options.
- Select Deal as the trigger object to base the automation on deal creation.
- Select Deal created so the activity is created whenever a new deal is added.
- Click Apply trigger from the bottom right to confirm the trigger.
- Set a condition for when the automation should run.
- Define your condition — for example, validate that the deal contains an email — then click Apply condition.
- Click the (+) icon to add an action to the automation.
- Select Action from the list of options.
- Select Activity as the action type.
- Select Create activity to specify what the action will do.
- Click Next to proceed to the activity field configuration.
- Select the fields you wish to add to the new activity and click Next.
- Use the deal's fields to populate the activity — access deal data via the side selector button.
- Select Deal to pull data from the triggering deal into the activity.
- Set the activity type — for example, choose Email.
- Choose when to schedule the activity.
- Set additional fields such as the contact person associated with the deal.
- Click Apply action to save the configured action.
- Click Save from the top right to save the completed automation.
- Return to the automations menu and confirm the automation is set to Active; enable it if needed.
- Create a new deal with a valid email — a new activity will automatically be created for that deal's contact.
- Verify the auto-created activity is visible in the Activities tab.
