How to Use Predecessors in Microsoft Project

Use this interactive demo to learn how to utilize predecessor dependencies in Microsoft Project.

Here’s how to do it:

  1. Let's begin by opening your project in Microsoft Project. Make sure you're in Gantt Chart View to easily work with task dependencies.
  2. Look at the task table on the left side of your screen. Right-click on any column header to display the context menu.
  3. From the context menu that appears, select 'Insert Column' to add a new column to your task table.
  4. In the column selection field that appears, start typing 'Predecessors' to quickly find this option.
  5. Select 'Predecessors' from the dropdown list and press ENTER. This column will help you link dependent tasks.
  6. The 'Predecessors' column now appears in your project view. This is where you'll define task dependencies.
  7. Click in a cell within the 'Predecessors' column next to a task that has a dependency. You'll notice a dropdown arrow appears.
  8. From the dropdown menu, select the ID number of the task that must be completed before this one can start. This creates a finish-to-start relationship by default.
  9. You've now set up task predecessors in your project. The Gantt chart will automatically update to show these dependencies with linking lines.

Setting up predecessors transforms your project from a simple task list into an intelligent scheduling engine. When you link tasks with dependencies, Microsoft Project automatically recalculates dates whenever changes occur—if one task runs late, all subsequent tasks shift accordingly.

This creates a realistic timeline that reflects how work actually flows. Beyond basic scheduling, predecessors reveal your project's critical path, showing which delays will impact your final deadline and where you have flexibility to reallocate resources without affecting the overall schedule.
