Use this interactive demo to learn how to export and back up your Salesforce data step by step.

Quick summary

Salesforce data backup lets admins export all org data on demand or on a schedule using the built-in Data Export tool or the Data Loader. Both methods protect critical CRM records and support compliance, disaster recovery, and migration needs.

Steps

  1. Click the gear icon at the top-right menu of the Salesforce dashboard.
  2. Select Open Advanced Setup.
  3. In the Quick Find search box, search for and select Data Export.
  4. Choose Export Now to trigger an immediate export.
  5. Select which data type to export or click Include all data.
  6. Click Start Export to begin the export process.
  7. Alternatively, choose Schedule Export to set up automated backups.
  8. Set a data export schedule to regularly back up your data on your preferred date or frequency.
  9. Select the data to export, then click Save.
  10. Another option is to use Data Loader; search for and select it in the Quick Find search box.
  11. Log in using your Salesforce account credentials.
  12. In the top menu, click New Task.
  13. Select Export.
  14. Choose an object to export.
  15. Click Next.
  16. Select fields from the object, then click Next to proceed.
  17. Once done, select Save & Run to perform your desired export task.

📌 Why this matters

Salesforce stores business-critical CRM data including contacts, leads, opportunities, and cases, making regular data backups essential for business continuity and compliance. The native Data Export feature and Data Loader give admins flexible options to back up Salesforce data on demand or on an automated schedule. Without a proper backup strategy, organizations risk permanent data loss from accidental deletion, integrations gone wrong, or platform outages. This demo matters because it shows admins the exact steps to protect their Salesforce data before a problem occurs.
