Use this interactive demo to learn how to turn private Salesforce reports into shared ones.

Quick summary

Sharing private reports in Salesforce requires saving them to a shared folder before using the Share option to grant access to other users. This step-by-step process ensures your report data is visible to the right teammates without losing the original private copy.

Steps

  1. Open the Reports tab from the top menu of the dashboard or access it through the App Launcher.
  2. Navigate to Private Reports in the left side menu of the Reports page.
  3. Choose a private report to open.
  4. Once opened, click the dropdown beside Edit at the top right and select Save As.
  5. Scroll down the dialog box and click Select Folder.
  6. Choose a new folder to save the report in, instead of Private Reports.
  7. Click Select once done.
  8. Fill in the other details, then click Save.
  9. Return to the Reports homepage and select the folder of your newly saved report.
  10. Click the dropdown beside New Folder at the top right, then select Share.
  11. Modify the user details to be shared, then click Done.

📌 Why this matters

Sharing reports in Salesforce is a critical workflow for sales and operations teams that need to collaborate on data insights. By default, reports created by individual users are stored as private, making them invisible to colleagues and managers. Knowing how to move a private Salesforce report into a shared folder and configure sharing permissions ensures the right people have access to the right data in real time. This capability drives better team alignment, faster decision-making, and more consistent CRM reporting across an organization.
