Sharing private reports in Salesforce requires saving them to a shared folder before using the Share option to grant access to other users. This step-by-step process ensures your report data is visible to the right teammates without losing the original private copy.
Steps
- Open the Reports tab from the top menu of the dashboard or access it through the App Launcher.
- Navigate to Private Reports in the left side menu of the Reports page.
- Choose a private report to open.
- Once opened, click the dropdown beside Edit at the top right and select Save As.
- Scroll down the dialog box and click Select Folder.
- Choose a new folder to save the report in, instead of Private Reports.
- Click Select once done.
- Fill in the other details, then click Save.
- Return to the Reports homepage and select the folder of your newly saved report.
- Click the dropdown beside New Folder at the top right, then select Share.
- Modify the user details to be shared, then click Done.
