Use this interactive demo to learn how to share Microsoft Project Online with others.

‍

‍

Here’s how to do it:

‍

  1. First, open your Microsoft Project file that you'd like to share with your team or stakeholders.
  2. Navigate to the 'File' tab located in the upper left corner of your Microsoft Project window.
  3. In the 'File' menu, look for and click on the 'Share' option to see your sharing possibilities.
  4. For collaborative work, click 'Sync with Sharepoint' to enable real-time project access for your team.
  5. Alternatively, select the 'Email' option if you prefer to share your project file as an attachment instead.
  6. When the email options appear, click on 'Send an Attachment'.
  7. Finally, enter the recipient email addresses, add any explanatory message if needed, and hit send to share your project plan.

📌 Why this matters

Sharing your project plans transforms isolated work into coordinated team execution. You enable stakeholders to see real-time progress, dependencies, and resource allocations without constantly fielding status update requests.

Beyond basic file sharing, project collaboration creates accountability through visibility - team members can see how their delays impact others downstream, naturally improving deadline adherence. When everyone accesses the same live data, you eliminate the version control chaos that derails projects, where people work from outdated timelines and miss critical changes to scope or deadlines.
