Use this interactive demo to learn how to create a Gantt chart in Microsoft Project.

‍

‍

Here’s how to do it:

‍

  1. Launch Microsoft Project and you'll start in the default Gantt Chart view. Begin by typing each project task in the left panel under the "Task Name" column.
  2. In the 'Duration' column, specify how long each task will take. You can use hours, days, or weeks.
  3. Enter '0' in the duration column to create a milestone, which will appear as a diamond shape on your Gantt chart.
  4. Click in either the 'Start' or 'Finish' column to set dates for each task. Project will automatically calculate the other date based on duration.
  5. To organize your project hierarchically, select tasks and click the 'Indent' button to create subtasks under summary tasks.
  6. Establish task dependencies by selecting the tasks you want to connect and clicking the 'Link' button in the Schedule group.
  7. After linking tasks, arrows will appear on your Gantt chart showing the relationships between tasks.
  8. Navigate to the 'View' tab to access different visualization options for your Gantt chart.
  9. In the 'Zoom' group, select 'Entire Project' to see your complete timeline.

📌 Why this matters

Creating Gantt charts transforms scattered project information into a visual timeline that reveals critical bottlenecks and resource conflicts before they derail your schedule. You can instantly see which tasks depend on others and identify the longest path through your project—your critical path.

This visual clarity becomes invaluable during stakeholder meetings, where you can demonstrate realistic timelines and justify resource requests with concrete data. When project scope inevitably changes, you'll quickly assess ripple effects across dependent tasks rather than scrambling to manually recalculate dates and dependencies.
