Use this interactive demo to learn how to automate Notion and Outlook using Zapier.

Quick summary

This guide shows how to integrate Notion with Outlook using Zapier by building an automated Zap that triggers on Outlook events and creates or updates items in a Notion database. Once set up, the automation runs in the background, keeping your Notion workspace in sync with incoming Outlook emails or calendar events.

Steps

  1. Click on 'Create' and select 'Zaps' to begin setting up a new automation.
  2. Set up Outlook as the trigger app.
  3. Select a trigger event, such as 'New Email' or 'New Calendar Event.'
  4. Sign in to your Outlook account to authorize the connection.
  5. Click 'Allow' to grant Zapier permission to access your Outlook data.
  6. Follow the prompts to connect your Outlook account to Zapier.
  7. Choose the specific event type or conditions that will trigger the Zap.
  8. Select 'Notion' as the action app.
  9. Select an action event, such as 'Create Database Item' or 'Update Database Item'.
  10. Follow the prompts to connect your Notion account to Zapier and grant permission to access your Notion workspace.
  11. Select the action based on your database and click 'Continue'.
  12. Select 'Publish' to test the trigger and confirm Zapier can successfully retrieve data from Outlook.
  13. Give your Zap a descriptive name, such as 'Notion to Outlook'.
  14. Toggle the Zap to 'On' to activate the automation.

📌 Why this matters

Integrating Notion with Outlook via Zapier eliminates manual data entry by automatically syncing Outlook emails and calendar events directly into Notion databases. This no-code automation saves teams significant time, reduces the risk of missed action items, and keeps project management and communication tools aligned in real time. For teams already using Outlook for email and Notion for project tracking, this Zap creates a seamless, bidirectional workflow without requiring any developer support.
