Use this interactive demo to learn how to export your Microsoft Project Gantt chart to Excel.

‍

‍

Here’s how to do it:

‍

  1. Open your Microsoft Project file containing the Gantt chart you want to export, then click on the 'File' tab in the top-left corner.
  2. In the File menu sidebar, select 'Save As' to begin the export process.
  3. In the 'Save As' section, navigate to your preferred save location. Choose 'Desktop' for easy access.
  4. Give your Gantt chart export a clear, descriptive filename so you can find it later - maybe something like "Project_Timeline_Export".
  5. Look for the 'Save as type' dropdown menu at the bottom of the dialog box and click the arrow to reveal file format options.
  6. From the dropdown list, select 'Excel Workbook'. This will convert your Gantt chart to a format you can work with in Excel.
  7. Click the 'Save' button your Gantt chart is now ready.

📌 Why this matters

Exporting your Gantt chart to Excel transforms it from a static project view into a dynamic analysis tool. You can perform calculations on duration data, create custom reports for stakeholders, and integrate timeline information with budgets or resource sheets.

Excel's pivot tables and formulas let you slice project data in ways Microsoft Project can't match. Your exported timeline becomes the foundation for executive dashboards, what-if scenarios, and cross-project comparisons that help you spot patterns and optimize future planning decisions.
