How to Create Resources in Microsoft Project

Steps

  1. Open your Microsoft Project file and navigate to the View tab in the ribbon at the top of your screen.
  2. Click on Resource Sheet in the view options to display the spreadsheet where you can add and manage all project resources.
  3. In the first empty row, enter the name of your resource — person, equipment, or material — in the Resource Name column, being specific for easy identification later.
  4. In the Type column, select whether the resource is a Work (people), Material, or Cost resource using the dropdown menu.
  5. Add a label in the Group column to organize resources by department, function, or any other logical category.
  6. Enter a value in the Max Units column to define resource availability — for example, 100% for full-time or 50% for half-time.
  7. Enter the hourly or per-unit cost in the Std. Rate column to record what you pay the resource during regular working hours.
  8. If applicable, enter an Ovt. Rate (overtime rate) for work resources, or leave it blank if overtime is not relevant.
  9. Ensure the Cost column is visible to monitor project spending and stay within budget as resources are assigned to tasks.
  10. Add a custom field such as Accurate At to track when resource information was last updated by right-clicking a column header and selecting Insert Column.
  11. Assign the appropriate calendar to each resource by clicking the Base Calendar field to define working days and hours for accurate scheduling.
