Use this interactive demo to learn how to customize working time and calendars in Microsoft Project.

Quick summary

The Change Working Time feature in Microsoft Project lets you create and customize project calendars to define exactly when work occurs. You can set unique working hours for specific days, create named calendars like holiday or extended-hours schedules, and apply those changes directly to your project timeline.

Steps

  1. Navigate to the Project tab in the ribbon menu.
  2. Click on Change Working Time from the dropdown options.
  3. In the Change Working Time dialog box, click Create New Calendar to start a new calendar.
  4. Give your new calendar a descriptive name (such as "Extended Hours" or "Holiday Schedule") and click OK.
  5. Select the Work Weeks tab to modify your working time pattern.
  6. Choose the day(s) you want to modify, then select Set day(s) to these specific working times.
  7. Enter your desired start and finish times for each working period.
  8. Click OK to apply and save your working time changes to the project calendar.

📌 Why this matters

Accurately configuring working time in Microsoft Project is essential for realistic project scheduling and on-time delivery. The Change Working Time feature allows project managers to define custom calendars that reflect actual team availability, including non-standard hours, holidays, and shift patterns. Without correct working time settings, task durations and deadlines will be miscalculated, leading to resource conflicts and missed milestones. Getting this right ensures your project plan reflects reality from day one.
