Use this interactive demo to learn how to export and archive old Salesforce data in a few clicks.

Quick summary

Archiving data in Salesforce is done by using the built-in Data Export feature to move old records — such as Accounts, Contacts, and Opportunities — out of active storage. This step-by-step process starts from the Setup menu and takes just minutes to initiate a full org export.

Steps

  1. Click the gear icon in the top-right corner of your Salesforce dashboard to open the settings menu.
  2. Select Open Advanced Setup from the dropdown to enter the full Setup environment.
  3. In the Quick Find search bar, type and select Data Export to navigate to the export settings page.
  4. Click Export Now to begin configuring an immediate data export.
  5. Select the object types you want to archive, such as Accounts, Contacts, Opportunities, and more.
  6. Click the Export button to confirm your selection and submit the export request.
  7. Your data export is now in progress — Salesforce will prepare your archived records outside of active storage.

📌 Why this matters

Archiving data in Salesforce is essential for maintaining a clean, high-performance CRM while preserving historical records for compliance and reporting. Salesforce's native Data Export feature lets admins extract large volumes of records — including Accounts, Contacts, and Opportunities — without third-party tools. Regularly archiving old data reduces storage costs, improves system speed, and ensures your team works with accurate, up-to-date information. This makes data archiving a critical practice for any growing business managing large Salesforce orgs.
