Use this interactive demo to learn how to block out non-working days in your Microsoft Project calendar.

Quick summary

Adding non-working days in Microsoft Project ensures your project schedule automatically excludes holidays and exceptions from task duration calculations. Using the Change Working Time dialog, you can define specific dates as nonworking to keep timelines accurate.

Steps

  1. Open your Project file and navigate to the Project tab.
  2. Select Change Working Time from the Project tab menu.
  3. In the dialog box, click the Exceptions tab.
  4. Enter a name for the exception and select the start and finish dates of your non-working day.
  5. Click Details to configure the non-working day settings.
  6. Set the exception type to Nonworking.
  7. Click OK to save all changes to your project calendar.

📌 Why this matters

Accurately defining non-working days in Microsoft Project is essential for realistic project scheduling, as it prevents tasks from being scheduled on holidays or planned shutdowns. When your project calendar reflects true working time, task durations, deadlines, and resource assignments stay aligned with reality. This reduces scheduling errors, avoids missed milestones, and helps project managers maintain credible timelines. Properly configured working time exceptions are a foundational step for any team using Microsoft Project for professional project management.
