Use this interactive demo to learn how to insert an approval step into a Jira service project workflow.

Quick summary

Adding an approval step to a Jira workflow lets teams enforce structured sign-off before a request advances to the next stage. You can configure approvers, set the number of required approvals, and define what happens when a request is approved or rejected — all from the Workflow Designer in Jira Service Management.

Steps

  1. Open your service project and go to Project settings in the left sidebar.
  2. Navigate to Workflows in the project settings menu.
  3. Click Edit workflows to open the workflow editor.
  4. In the Workflow Designer, select the area in the flow where you want to add the approval.
  5. Check and enable the Include approval step option.
  6. Define the number of approvers, then click Add approvers and choose the source.
  7. Set the transition rules: specify what happens to the card when Approved and what happens when Rejected.
  8. Click Publish Draft to save and activate your updated workflow.

📌 Why this matters

Adding an approval step to a Jira workflow gives teams a structured, auditable way to enforce sign-off on service requests before they move forward. In Jira Service Management, approval steps can be assigned to specific approvers with configurable sources, ensuring the right stakeholders are always in the loop. Teams can define separate outcomes for approved and rejected requests, reducing manual follow-up and keeping processes compliant. This makes Jira workflow approvals essential for finance, IT, and operations teams managing sensitive or high-value requests.
