Use this interactive demo to learn how to publish and share a Smartsheet document with custom access settings.

Quick summary

Publishing a Smartsheet document lets you share a read-only view of your sheet with anyone via a public link. This feature is available exclusively to licensed Smartsheet accounts and is controlled through the Publish Options panel.

Steps

  1. On Smartsheet's main dashboard, find and open the document you want to publish.
  2. Go to the right-hand pane and click the Publish button.
  3. In the Publish Options panel, configure your preferred access settings by switching on the toggle beside each access type you want to enable — note this feature requires a licensed Smartsheet account.

📌 Why this matters

Publishing a Smartsheet document gives teams a fast, no-login way to share live sheet data with stakeholders, clients, or external collaborators via a public link. The Publish feature removes the barrier of requiring every viewer to hold a Smartsheet license, making it ideal for broad distribution of project status, reports, or checklists. Granular Publish Options let licensed users control exactly what level of access is granted, keeping sensitive data protected while maximizing visibility. This makes Smartsheet's publish capability a critical tool for transparent, scalable project communication across organizations.
