Use this interactive demo to learn how to connect Calendly booking data directly to Google Sheets via Zapier.

Quick summary

This tutorial shows how to integrate Calendly with Google Sheets using a Zapier Zap, so that every new Calendly booking is automatically logged as a row in your spreadsheet. The step-by-step workflow covers setting up the trigger, connecting both accounts, and publishing the automation without any code.

Steps

  1. Log in to Zapier, click Create, and select Zaps to start building a new automation.
  2. Click Trigger to open the trigger configuration panel.
  3. Search for and select Calendly as the Trigger App.
  4. Choose a trigger event to define which Calendly activity starts the Zap.
  5. Sign in to your Calendly account and click Continue to authorize the connection.
  6. Select a Webhook subscription scope to specify the level of Calendly data to monitor.
  7. Click Test trigger to verify that Zapier can receive sample data from Calendly.
  8. Select Continue to move from the trigger to the action setup.
  9. Search for and select Google Sheets as the action app.
  10. Choose an action event to define what happens in Google Sheets when the trigger fires.
  11. Sign in to your Google Sheets account to authorize the connection.
  12. Complete and customize the required fields — such as spreadsheet, sheet, and column mapping — then click Continue.
  13. Click Test step to confirm that data is written correctly to your Google Sheet.
  14. Click Publish to activate the integration and start syncing Calendly bookings to Google Sheets automatically.

📌 Why this matters

Integrating Calendly with Google Sheets via Zapier eliminates manual data entry by automatically capturing every new booking as a structured spreadsheet row. This no-code automation gives sales, operations, and scheduling teams a centralized, real-time log of appointments that is easy to analyze, share, and act on. By connecting two widely used tools without developer support, teams can reduce administrative overhead and keep their scheduling data accurate and up to date. It is an essential workflow for any team that relies on Calendly for meetings and needs that data instantly visible in Google Sheets for reporting or follow-up.
