Use this interactive demo to learn how to export your Microsoft Forms surveys to PDF.

‍

‍

Microsoft Forms exports all responses to Excel with one click for complete data analysis, including timestamps and respondent details.

‍

  1. On your Microsoft 365 main dashboard, click Apps to see all apps.
  2. Click on Forms to open Microsoft Forms.
  3. Open the specific form that has the data you want to export.
  4. Click the View Responses tab at the top of the editor.
  5.  Click Open results in Excel to export your data.
  6. Head to File in the top menu to access export options.
  7. Click Export to choose your preferred file format.
  8. Select Download as PDF to save a shareable version of your results.
  9. Hit Download, and you're done—your PDF is ready to go!

📌 Why this matters

Exporting your form responses to PDF creates a permanent, professional record that preserves formatting and visual elements that raw Excel data strips away. You can share results with stakeholders who don't need to manipulate data but want to see patterns and insights clearly presented.

PDFs also serve as audit trails for compliance requirements, maintaining response integrity over time. While Excel handles analysis, PDF format transforms your data into a presentation-ready document that works across any device or platform without compatibility issues.
