Use this interactive demo to learn how to download responses from your Microsoft Forms.

‍

‍

Microsoft Forms exports all responses to Excel instantly for analysis, reporting, or backups with timestamps and full data.

‍

  1. On your Microsoft 365 main dashboard, click Apps to see all apps.
  2. Click on Forms to open Microsoft Forms.
  3. Open the specific form that has the data you want to export.
  4. Click the View Responses tab at the top of the editor.
  5.  Click Open results in Excel to export your data.
  6. Head to File in the top menu to access export options.
  7. Click Export to choose your preferred file format.
  8. Select your preferred format to save a shareable version of your results.
  9. Hit Download, and you're done—your PDF is ready to go!

📌 Why this matters

Downloading your form responses transforms raw survey data into actionable insights through Excel's powerful analysis tools. You can create pivot tables, generate charts, and perform calculations that aren't possible within the basic forms interface.

Beyond immediate analysis, having offline copies protects against accidental deletions and enables you to merge data from multiple forms or time periods. This becomes especially valuable when building comprehensive reports for stakeholders who need polished presentations rather than basic web-based response summaries.
