Use this interactive demo to learn how to set non-working days in your Microsoft Project calendar.

Quick summary

To change non-working days in Microsoft Project, open the Change Working Time dialog from the Project tab, navigate to the Work Weeks settings, and mark specific days as nonworking time in the Details panel. This updates your project calendar so scheduling and task durations automatically respect the days your team won't be working.

Steps

  1. Open your Microsoft Project file and click the Project tab in the ribbon at the top of the screen.
  2. Locate the Change Working Time button in the Properties group of the Project tab and click it.
  3. In the Change Working Time dialog, click the Work Weeks tab to access your work schedule settings.
  4. Select the Default work week and click the Details button on the right side of the dialog.
  5. In the Details dialog, select the specific day or days you want to mark as non-working — hold Ctrl to select multiple days at once.
  6. With your days selected, choose the Set days to nonworking time option.
  7. Click OK to close the Details dialog, then click OK again to close the Change Working Time dialog and apply changes to the project calendar.

📌 Why this matters

Accurately defining non-working days in Microsoft Project is essential for realistic project scheduling and on-time delivery. When non-working days are correctly configured in the project calendar, Microsoft Project automatically adjusts task durations, dependencies, and deadlines to skip those days — preventing scheduling errors caused by holidays, shutdowns, or custom team schedules. This ensures that resource planning and timeline forecasting reflect real-world availability, giving project managers greater confidence in their project plans. Teams that maintain an accurate working time calendar reduce the risk of missed deadlines and last-minute schedule overruns.
