Use this interactive demo to learn how to add a dropdown list in Microsoft Forms.

‍

‍

A drop-down list keeps your SaaS forms clean by hiding long lists of options—like software versions or geographic regions—until the user clicks. Follow these steps to set it up:

‍

  1. On your Microsoft 365 main dashboard, click Apps to see all apps.
  2. Click on Forms to open Microsoft Forms.
  3. Open the specific form you wish to edit or create.
  4. Click Add new question to insert another field into your form.
  5. Select Choice from the question type menu.
  6. Enter your question and list all the available options in the provided fields.
  7. Click the three dots (...) in the lower-right corner of the question block, and select drop-down from the list.
  8. Click Preview to test the dropdown menu.
  9. Click the dropdown again to confirm your selection works smoothly.
  10. Click Collect responses to generate a link or QR code for your users.

📌 Why this matters

Dropdown lists dramatically improve form completion rates by reducing visual overwhelm and decision fatigue. When users see 20+ options laid out vertically, they often abandon the form entirely.

But dropdown lists also serve a strategic purpose beyond user experience: they standardize your data collection by preventing typos and variations that plague open text fields. Instead of receiving "New York," "NY," "new york," and "New York City" as separate entries, you get clean, consistent data that's immediately usable for analysis and automation.
