Use this interactive demo to learn how to share files and access libraries in Salesforce Lightning.

Quick summary

This tutorial shows how to share files and manage Libraries in Salesforce Lightning using the Files app. Users can share individual files with people or groups, and use Libraries as shared folders to organize and distribute multiple files at once.

Steps

  1. Open the App Menu in the top left and select Files.
  2. Click the Down arrow next to the file you want to share and select Share from the dropdown.
  3. Add users you want to share the file with in the share dialog.
  4. Optionally, share the file with Groups instead of individual users.
  5. Click Share to confirm and apply the file sharing settings.
  6. Navigate to Libraries in the left pane — Libraries act as shared folders for grouping multiple files together.
  7. Click Manage Members from the library folder's dropdown to control access.
  8. Select Public Groups or People to grant library access, similar to individual file sharing.

📌 Why this matters

Salesforce Lightning's Files and Libraries features give sales and operations teams a centralized way to store, organize, and share documents directly within their CRM. By enabling file sharing with individuals or public groups — and using Libraries as shared folder structures — teams can eliminate scattered file storage and ensure every stakeholder has access to the right content. This is especially valuable for Salesforce admins and power users who need to manage document permissions at scale without leaving the platform.
