Use this interactive demo to learn how to set the default form in your Dynamics 365 environment.

‍

‍

To set the default form in Dynamics 365, follow these steps:

‍

  1. Navigate to settings by clicking the gear icon.
  2. Select 'Advanced Settings'.
  3. Access the 'Customizations' menu.
  4. Choose and hit 'Customize the system'.
  5. Under 'Data Experiences', select 'Forms'.
  6. Choose a table and click on the ellipsis icon.
  7. Select 'Form settings'.
  8. Then, go to the 'Form order' section.
  9. Drag the entities to move the desired form to the top of the list. The first form in the list becomes the default for users.
  10. Hit 'Save and Publish' once you have set your default form.

📌 Why this matters

Setting your default form streamlines data entry and ensures consistency across your organization. When users create new records, they'll automatically see the form layout you've prioritized, reducing clicks and confusion. Beyond convenience, this becomes crucial when you have multiple specialized forms for different user roles or business processes.

Your sales team might need different fields highlighted than your support team. By controlling which form appears first, you're essentially designing the user experience and can guide teams toward capturing the most relevant information for their specific workflows.
