Use this interactive demo to learn how to find and delete duplicate entries in Microsoft Excel.

Quick summary

Removing duplicate values in Microsoft Excel keeps your data clean and accurate by using built-in tools like Conditional Formatting and the Remove Duplicates feature. This step-by-step process lets you visually identify duplicates first, then permanently delete them in just a few clicks.

Steps

  1. Highlight the range of data you want to check for duplicates.
  2. Go to the Home tab and click Conditional Formatting.
  3. Choose Highlight Cells Rules and select Duplicate Values.
  4. Leave the default settings and click OK to highlight duplicate values in your data.
  5. With your data still selected, go to the Data tab and click Remove Duplicates.
  6. In the dialog box, select the columns you want to check for duplicates, then click OK.
  7. Excel will remove the duplicates based on your settings and display how many duplicate rows were removed.

📌 Why this matters

Duplicate data in spreadsheets leads to inaccurate reports, inflated counts, and unreliable analysis. Microsoft Excel's built-in Remove Duplicates tool lets users instantly identify and eliminate repeated rows without formulas or add-ins. Using Conditional Formatting alongside the Remove Duplicates feature gives teams a visual confirmation before any data is permanently deleted. Keeping Excel datasets clean improves the accuracy of pivot tables, VLOOKUP results, and any downstream reporting or decision-making.
