Use this interactive demo to learn how to connect Asana tasks to QuickBooks Online using a Zap.

Quick summary

This tutorial shows how to integrate Asana with QuickBooks Online using Zapier by building a Zap that automatically triggers a QuickBooks action whenever an Asana event occurs. The step-by-step walkthrough covers setting up the trigger app, authenticating both accounts, configuring action fields, and publishing the completed automation.

Steps

  1. Log in to Zapier, click "Create," and then select "Zaps" to get started.
  2. Click "Trigger" to proceed to the trigger setup screen.
  3. Search for "Asana" and select it as the Trigger App.
  4. Choose an event under Asana to define what will fire the Zap.
  5. Sign in to your Asana account and click "Continue" to authenticate.
  6. Choose a value under "Workspace / Organization" and click "Continue" to proceed.
  7. Click "Test trigger" to verify Zapier can pull data from Asana.
  8. Click "Continue with selected record" to confirm the test data and move to the action step.
  9. Search for and select "QuickBooks Online" as the action app — note this is a Pro feature that may require a paid plan.
  10. Choose an event under QuickBooks to define what action will run when the trigger fires.
  11. Click the dropdown and select "Yes, Continue to QuickBooks Online" to authorize the connection.
  12. After signing in to your QuickBooks account, select a company and click "Next."
  13. Click "Connect" to grant Zapier access to your QuickBooks account.
  14. Answer the authorization question, then click "Submit" to complete account linking.
  15. Complete and customize the required fields to map Asana data to QuickBooks action fields.
  16. Click "Test step" to verify the QuickBooks action runs correctly.
  17. After a successful test, click "Publish" to activate and complete the integration.

📌 Why this matters

Integrating Asana with QuickBooks Online via Zapier eliminates manual data entry by automatically syncing project tasks and financial records between the two platforms. Teams that manage project work in Asana and accounting in QuickBooks can trigger invoices, payments, or other financial actions the moment a task event occurs — saving time and reducing costly errors. This no-code automation is ideal for project managers, finance teams, and small business owners who need their project management and accounting tools to work in sync without custom development.
