Quick summary
Exporting a Gantt chart from Microsoft Project to PDF preserves your full visual timeline — including task names, bars, and dates — in a universally shareable format. This six-step process uses the built-in Create PDF/XPS export option, requiring no third-party tools.
Steps
- Open your Microsoft Project file and confirm you are in the Gantt Chart view, which is the default view.
- Click the File tab in the ribbon menu at the top-left corner of the Microsoft Project window.
- In the File menu, select the Export option from the left sidebar.
- Click Create PDF/XPS Document to preserve the Gantt chart's visual timeline exactly as it appears in Project.
- In the Save As dialog box, choose a save location, enter a meaningful file name, confirm PDF is selected as the file type, and click OK.
- Your PDF will open automatically in your default PDF viewer — verify that all timeline bars, task names, and dates are clearly visible.
