Use this interactive demo to learn how to customize working days and hours in Microsoft Project.

Quick summary

To change working days in Microsoft Project, open the Change Working Time dialog from the Project tab and use the Work Weeks settings to define custom working days and hours for your project calendar.

Steps

  1. Click on the Project tab in the ribbon menu to begin modifying your project's working schedule.
  2. Select Change Working Time from the dropdown menu to access working day and exception controls.
  3. In the Change Working Time dialog box, choose to modify the existing calendar or create a new calendar with your desired working days.
  4. If creating a new calendar, enter a descriptive name that reflects your working schedule and click OK.
  5. Navigate to the Work Weeks tab to customize which days are working days and which are non-working.
  6. Select the day you want to change and choose Set day(s) to these specific working times to mark it as a working day.
  7. Enter the working hours you want to apply for each newly designated working day.
  8. Click OK to save your changes — your project schedule will automatically recalculate based on the newly defined working days.

📌 Why this matters

Correctly configuring working days in Microsoft Project is essential for accurate project scheduling and realistic deadline planning. When your project calendar reflects your team's actual work schedule — including custom weekdays and hours — Microsoft Project can calculate task durations, resource availability, and finish dates with precision. This prevents scheduling errors caused by default calendar assumptions and ensures your Gantt chart and critical path reflect real-world constraints. Project managers who master working time settings gain tighter control over timelines and reduce the risk of missed milestones.
