From a RepX chat to a $14,400 deal in 30 days

A visitor landed on our homepage and started chatting with RepX, our website agent. Under five minutes later, they had seen two interactive demos, shared their email, and asked for a call. Thirty days later, their company signed a $14,400 deal.

I pulled the full trail: the RepX transcript, the HubSpot record, six recorded calls and dozens of emails to identify how one conversation with our website agent turned into revenue, and where RepX did the work.

The RepX conversation that started it

The RepX chat opened the way most do: the visitor said "hi", and RepX asked which of our two products they'd like to explore: Demo Suite or RepX. They picked Demo Suite, and instead of describing the product, RepX pulled up an interactive demo on their screen. Showing the product first kept a visitor with a specific need in the conversation.

The next message showed what they were really after: "Do you provide a live demo environment?" RepX said yes and opened a demo about Sandbox Demos (meta, I know), then asked whether they were evaluating tools or replacing one, the same question a seller would open a first call with. The visitor confirmed: "I am evaluating demo solutions, trying to see what could match our requirements."

RepX proactively asked for an email. The visitor shared it and asked to book a call. RepX put a booking link in the chat right away. When the visitor returned to the chat later, RepX picked up where they had left off.

The usual contact form would have captured a name, an email and a vague interest in demos. This conversation captured the requirement (a live demo environment) and the stage (evaluating) before anyone on our team had said a word.

A first call that started with context

Two days later, the buyer joined a call with one of our demo strategists (AEs), along with a product manager and a product owner from their team.

The buyer had already done the research. They opened with: "We are exploring demo system solutions and reviewing our requirements. Thanks to {product owner's in-depth analysis}, Storylane came out as one that we should engage and explore." The chat had turned that research into a conversation, so the sales call could go straight to details.

Our demo strategist sent a recap the same day. That email became the thread for the rest of the deal.

A trial they built themselves

Within two weeks, the NDA and security review were done and the buyer's team was building. We activated a trial on their workspace, and their engineer captured the screens for a first demo. The goal in our action plan was an MVP sandbox demo they could take to internal stakeholders for a go/no-go decision, ideally within the week.

The champion took it to their stakeholders, and their next email was short:

"I'm pleased to share that I have received the green light to proceed."

And finally, the signature

The champion confirmed they would move forward with the Premium guided demo plan. A round of legal edits followed before the signed quote came back with one more request: "Could we have a kick-start session?" Our demo strategist introduced a customer success manager within the hour, and the kickoff was booked for that afternoon.

Where RepX fit

RepX did three jobs in this deal:

  • Answered in the moment. RepX opened the right demo as soon as the visitor asked, so someone with a specific need saw a live demo environment instead of reading about one.
  • Qualified in conversation. RepX captured the requirement (a live demo environment) and the stage (evaluating) before anyone on our team had spoken to the visitor.
  • Booked while intent was high. RepX put a booking link in the chat, which put a call on the calendar within two days.

RepX did not close this deal on its own. The buyer had a real need and a product that fit it, our team ran a consistent sales motion from the first call to the signature, and customer success was in the thread within the hour of signing. Those are what got the contract across the line. Still, the influence of the agent is hard to ignore: the conversation that started everything put the right demo in front of the visitor and set the deal up well before a seller got involved.

The deal also points to what comes next. The buyer's interest in RepX came up during the evaluation, and we noted it for their website and hubs once their demos are in good shape.
