This demo shows how to integrate HubSpot and Calendly using a Zapier automation so that every new Calendly booking automatically creates or updates a HubSpot contact. It eliminates manual data entry by syncing invitee details like name, email, and event time directly into your CRM.
Steps
- Log in to Zapier, click "Create," and select "Zaps" to start a new automation.
- Click "Trigger" to begin setting up the trigger step.
- Search for and select Calendly as the trigger app.
- Choose a trigger event such as "Invitee Created" or "Event Scheduled," then connect your Calendly account to Zapier.
- Select the Webhook subscription scope for the trigger.
- Run a test to ensure Zapier detects new event registrations from Calendly.
- Choose HubSpot as the action app.
- Select "Create or Update Contact" as the action event.
- Connect your HubSpot account to Zapier.
- Map Calendly fields — such as invitee name, email, and event time — to the corresponding HubSpot contact fields.
- Run a test to verify the data sync between Calendly and HubSpot.
- Click "Publish" to activate the automation and go live.
