How to Customize Navigation Pane MS Access

Updated on:
May 12, 2026

Madhav Bhandari
Use this interactive demo to learn how to customize the Navigation Pane in Microsoft Access.

Quick summary

The MS Access Navigation Pane can be customized by adding custom categories and groups through the Navigation Options dialog, giving you full control over how database objects are organized and displayed. This step-by-step process lets you rename groups, toggle hidden or system objects, and save a structured layout that improves database usability.

Steps

  1. Open your desired Access database.
  2. Right-click on the top bar of the Navigation Pane and select 'Navigation Options...'.
  3. In the Navigation Options dialog, click 'Add Item' to create a new custom category.
  4. Double-click the new category to rename it.
  5. Under the selected category, click 'Add Group' to create a new group.
  6. Rename groups by clicking on their names and using the 'Rename Groups' button.
  7. Check 'Show Hidden Objects' or 'Show System Objects' to control object visibility.
  8. Click 'OK' to save your customized Navigation Pane settings.
  9. Your Access database is now more organized and efficient with your custom Navigation Pane layout.

📌 Why this matters

Customizing the Microsoft Access Navigation Pane allows database users to organize objects into meaningful categories and groups, reducing clutter and improving workflow efficiency. Instead of scrolling through a flat list of tables, queries, forms, and reports, users can create a tailored structure that reflects how they actually work. This feature is especially valuable for teams managing complex Access databases, where quick access to the right objects can save significant time. A well-organized Navigation Pane also reduces errors by making it easier to find and open the correct database objects at a glance.
