Use this interactive demo to learn how to add and manage subtasks inside an Airtable table.

Quick summary

Creating subtasks in Airtable involves adding a custom Long Text field with rich text enabled and using the Checklist format to track individual task items. This approach lets teams break down complex tasks into actionable steps directly within their Airtable base.

Steps

  1. Click the Add icon to create a new field for the subtasks.
  2. Click Field Name and type Subtasks to name the new field.
  3. Select Long Text as the field type.
  4. Switch on the radio button next to Enable Rich Text Formatting, then click Create Field.
  5. Tap the Expand Cell icon to open the cell and enter subtask details into the newly created field.
  6. Click the Paragraph icon to access text formatting options.
  7. Select Checklist from the available formatting options.
  8. Type each subtask detail one by one into the checklist.
  9. Navigate to the top navigation bar and click the Row Height button.
  10. Choose Tall from the available Row Height options to make the subtasks visible.
  11. The Airtable subtasks field is now created and displayed immediately in your table.

📌 Why this matters

Airtable does not have a native subtask feature, so knowing how to simulate subtasks using a Long Text field with checklist formatting is essential for teams managing complex projects. This method lets users track granular action items within a single Airtable record without needing third-party integrations or additional tools. By adjusting row height and enabling rich text, teams can view and interact with subtask checklists directly in grid view, keeping workflows organized and visible. This is a practical, low-overhead solution for project managers and operations teams who rely on Airtable for task tracking.
