Use this interactive demo to learn how to share a private Salesforce report with specific users.

Quick summary

Sharing a private report in Salesforce requires moving it into a shared folder and granting access permissions to specific users or groups. This step-by-step walkthrough covers every action from creating a folder to setting view or edit rights and confirming the share.

Steps

  1. Navigate to the Reports tab and create a New Folder to house the report you want to share.
  2. Give your new folder a name so it is easy to identify.
  3. Search for the private report you want to share using the report search bar.
  4. Click the dropdown arrow next to the report and choose Move.
  5. Select the folder you created as the destination to move the report into.
  6. Click Select Folder to confirm and complete the move.
  7. Go back to your report folders under All Folders or Created by Me to locate the moved report.
  8. Click the carrot (>) next to the folder name and choose Share.
  9. Choose who can access the report by selecting Users or Groups.
  10. Add the specific user you want to share the private report with.
  11. Set the access level — View to see report data, Edit to modify the report, or Run My User to run it under their credentials.
  12. Click Done to save and apply the sharing settings.

📌 Why this matters

Sharing private reports in Salesforce is a critical workflow for sales and operations teams that need to collaborate on CRM data without making reports publicly visible to all users. By moving a report into a shared folder and assigning granular permissions — View, Edit, or Run My User — admins can control exactly who sees sensitive pipeline, revenue, or activity data. This capability helps organizations maintain data governance while enabling cross-functional visibility across users and groups. Mastering Salesforce report sharing reduces bottlenecks, speeds up decision-making, and ensures the right stakeholders always have access to the right data.
