Use this interactive demo to learn how to share a Salesforce report folder with public groups.

Quick summary

Making a Salesforce report public requires creating a shared folder and moving the report into it via the Reports tab. This process gives all users in a Public Group visibility into the report without changing individual permissions.

Steps

  1. Go to the Reports tab in Salesforce.
  2. Create a New Folder to hold your public report.
  3. Name the folder so it is easy to identify.
  4. Click the down arrow next to the New Folder button and select Share from the dropdown.
  5. In the Share With dropdown, select Public Groups to make the folder publicly accessible.
  6. Navigate back to the Reports page and choose the report you want to make public.
  7. Click the down arrow next to the report to reveal a dropdown and select Move.
  8. Select the public folder you created to move the report and make it public.

📌 Why this matters

Making a Salesforce report public ensures that key business data is accessible to all relevant team members without requiring manual permission changes for each user. By organizing reports into shared public folders, Salesforce admins can streamline data visibility across departments and reduce bottlenecks in reporting workflows. This approach is especially valuable for sales and marketing teams that rely on up-to-date dashboards to make informed decisions. Properly sharing Salesforce reports through Public Groups improves collaboration, accountability, and data transparency across the organization.
