Use this interactive demo to learn how to set up a group event type in Calendly.

Quick summary

A Calendly group event lets multiple people book the same time slot, making it ideal for webinars, workshops, and team onboarding sessions. This walkthrough covers every step from creating a new event type to sharing the booking link with invitees.

Steps

  1. On your dashboard, click the + New Event Type button to begin.
  2. Select Group from the event type options — this allows multiple people to book the same time slot.
  3. Enter a name for your group event.
  4. Specify the location of the event, such as Zoom, Google Meet, or in-person.
  5. Define the maximum number of invitees who can join a single event slot.
  6. Once all settings are configured, click the Continue button to proceed.
  7. A confirmation notification appears once your group event is successfully created.
  8. Click the link icon to share your booking link with invitees via email or social media.

📌 Why this matters

Calendly's group event feature solves the problem of coordinating one-to-many meetings by letting multiple participants book the same scheduled time slot without back-and-forth emails. This is especially valuable for teams running recurring webinars, onboarding sessions, or training workshops at scale. By setting a maximum attendee cap and sharing a single booking link, hosts maintain full control over capacity while giving invitees a frictionless self-serve scheduling experience. Group events reduce manual scheduling overhead and help teams convert interest into confirmed attendance faster.
