Use this interactive demo to learn how to remove duplicate records in Salesforce using Duplicate Rules.

Quick summary

Salesforce Duplicate Rules let admins automatically detect and prevent duplicate records across objects like Leads, Contacts, and Accounts. Setting up a duplicate rule in Salesforce's Advanced Setup takes just a few minutes and helps keep your CRM data clean and reliable.

Steps

  1. Click the gear icon at the top right of the dashboard to open settings.
  2. Select Open Advanced Setup from the dropdown menu.
  3. In the Quick Find search box, search for and select Duplicate Rules.
  4. Click New Rule, then choose an object to apply the rule to.
  5. Configure the settings and enter the remaining required details for the rule.
  6. Set conditions by filling in the fields and selecting an operator, then click Save when finished.

📌 Why this matters

Duplicate data in Salesforce CRM degrades pipeline accuracy, wastes sales rep time, and causes reporting errors that can cost deals. Salesforce Duplicate Rules give administrators a native, automated way to detect and block duplicate Leads, Contacts, and Accounts at the point of entry, without requiring third-party tools. By configuring matching conditions and operators directly in Advanced Setup, teams can enforce data quality standards across the entire org. Clean CRM data directly improves forecast accuracy, email deliverability, and overall revenue operations efficiency.
