Use this interactive demo to learn how to build an archive database for old pages and notes in Notion.

Quick summary

A Notion archive database lets you store old pages, notes, and completed projects in one structured location without cluttering your active workspace. Using a Table view with columns like Status and Date Archived, you can quickly organize and retrieve any inactive content.

Steps

  1. Open Notion, create a new page, name it Archive, then type /tableview and select Table view.
  2. Add columns such as Page Name, Category, Date Archived, and Status to structure your archive database.
  3. Fill in sample archived items such as Old Meeting Notes, Finished Website Draft, and March Content Ideas.
  4. Set the Status of each old item to Archived to mark it as inactive.
  5. Continue adding old or inactive pages into the archive database to keep all completed content in one place.
  6. Your archive database is now ready to store old pages, notes, projects, or completed content without cluttering your active workspace.

📌 Why this matters

A dedicated archive database in Notion helps teams and individuals keep their workspace clean by moving completed or inactive content out of active views without permanently deleting it. By using a structured Table view with fields like Status, Category, and Date Archived, users gain full visibility into historical work while maintaining a focused, clutter-free workspace. This approach is especially valuable for knowledge workers, content creators, and project managers who accumulate large volumes of notes and documents over time. A well-organized Notion archive improves searchability, reduces cognitive load, and ensures nothing important is ever truly lost.
